Guilford College requires that all employees take reasonable care to safeguard all College-owned or College-provided property that is in their care while employed at the College and use all property in a safe and respectful manner.
Purpose/Reason for Policy: To outline the appropriate use of College property that is provided to employees to facilitate the performance of their jobs as well as their responsibility for its safekeeping.
Scope/Covered Persons: All employees of Guilford College.
Definitions:
College Property: All equipment, supplies, tools, vehicles, materials, and offices provided to employees, or available on the campus, to facilitate their fulfilling their job responsibilities and facilitate College operations.
The Policy:
Equipment, vehicles, tools, materials, supplies, offices, furnishings and grounds that belong to the College shall not be used for purposes other than intended, removed from College premises except in the conduct of College business, transferred to others on campus without supervisory permission, tampered with or intentionally damaged while in the employee’s care.
Employees are required to return all College equipment, vehicles, supplies, materials, keys, uniforms, ID cards, purchasing cards and other College-owned property upon separation from employment.
Roles and Responsibilities:
- Employees who are assigned College-owned property in order to do their work shall maintain it and keep it in good working condition and return it to the College upon separation of employment.
- Supervisors are responsible for tracking College-owned property that they assign to employees within their areas of responsibility, and to retrieve said property when employees separate from the College.
- Compliance:
- If an employee is negligent in the proper use of or storage of tools, equipment, vehicles, materials or supplies, uses it in an unsafe manner, or if the College property is abused, misplaced or stolen as a result of the employee failing to safeguard said property, the employee may be required to repair or replace it and the employee may be subject to discipline up to and including termination.
- Failure to return College-owned property at the end of employment may result in a charge to the employee who was responsible for said property; these charges may be deducted from any final payment due the employee and the employee may not receive payment for accrued leave.
